How to Organize a Family Camp Out

The Family Camp Out is an annual event that Pack 002 holds on or around the last weekend in April. All families are invited to bring a tent and camp one night with the rest of the Pack. This usually takes place on the field next to the Bandstand in the park at Legacy Park.

A Few Rules

  • All participating Scouts must be accompanied overnight by at least one parent. Scouts may not be dropped off for participation.
  • Siblings and other family members are welcome and encouraged to participate.
  • Each family must bring their own tent(s).
  • Each family can bring their own drinks and snacks, but hot dogs and hamburgers, s'mores, and doughnuts and juice are provided.
  • The Bandstand area must always be left cleaner than we found it.

Here is the list of what we generally use for food at the Pack Family Campout (for about 150 people):

Dinner Shopping List

  • 120 hotdogs and buns
  • 120 hamburgers and buns (frozen burgers, pre-shaped)
  • 175 individual bags of chips, Doritos, etc.
  • 2 large ketchup bottles
  • 1 large mustard Bottle
  • 1 medium relish bottle
  • 4 large containers of powdered lemonade mix and water to mix it

S'mores Shopping List

  • 110 chocolate bars
  • 10 bags of big marshmallows
  • 12 boxes of Graham Crackers

This should be sufficient for 3 per person with each person being given 3 graham crackers, 4 marshmallows and 1 chocolate bar. Not everyone had s'mores, but then some kids came back for extras. We could/should have offered extra marshmallows just to roast w/o the smores, if extras are left over.

Breakfast Shopping List

  • 2 big jugs of OJ
  • 12 dozen donuts

Miscellaneous Shopping List

  • 175 plates
  • 300 cups
  • Lots of napkins
  • 1 box of foil sheets
  • 5 large disposable foil pans
  • 10+ huge trash bags

Also, the person running the food needs to remember to arrange for:

  • Getting the grill to the location
  • Bringing the hot mitts, spatulas and tongs
  • 3 long tables from LP storage
  • Firewood for the campfire

Manpower/Volunteer Needs

The ideal is 2-3 woodchoppers if the wood isn't chopped already; 2 cooks, 2 food assemblers, and one over-seer to set up and head off problems. I don't think it is terribly necessary to book ahead, as people are always willing to help out when they are there. The main thing is to have the overall food coordinator.

It is very important to have at least 3 - 4 of the foil trays full of cooked hot dogs and burgers before calling people to eat, to avoid having a long line waiting for food to be cooked. The foil sheets keep the food hot until it is served.
